[For Pooling] HR SYSTEM ADMINISTRATOR

Job Summary:

The HR System Administrator manages and optimizes the Human Capital Management System (HCMS), to ensure smooth HR operations. This role supervises a team of HR system administrators, ensuring the accurate and timely execution of system-related tasks including configuration, user access, data integrity, reporting, and system enhancements. The supervisor also works closely with internal stakeholders and Darwinbox support to ensure the system supports evolving business and HR needs.

Key Responsibilities:

System Administration

  • Manage end-to-end configuration and ongoing maintenance of the company’s HCMS platform, including modules such as Core HR, Recruitment, Performance Management, Learning, Payroll, and Employee Self-Service.
  • Ensure data accuracy, integrity, and security across all modules.
  • Monitor system performance and coordinate with Darwinbox support for issue resolution and improvements.

Team Supervision

  • Lead and coach a team of HR system administrators or support staff.
  • Oversee ticket resolution, service level agreements (SLAs), and user support activities.

Process Optimization

  • Identify opportunities for process automation and system improvements functionality.
  • Partner with HR process owners to streamline workflows and implement best practices.
  • Maintain and document system processes, SOPs, and user guides.

Reporting & Analytics

  • Generate and validate reports and dashboards from Darwinbox for HR metrics, compliance, audits, and management decision-making.
  • Support data preparation for statutory reports and internal HR dashboards.

User Support & Training

  • Provide training and support to HR teams and end-users on new features, upgrades, and changes in the system.
  • Ensure user adoption of HCMS modules through education and change management.

Qualifications:

  • Bachelor’s degree in HR, Information Technology, Business Administration, or related field.
  • A minimum of 5 years of experience in Human Capital Management Systems (HCMS), with at least 2 years focused on a comprehensive understanding and administration of multiple modules. Experience with and knowledge of the Darwinbox system is a strong advantage.
  • Experience in supervising a small to mid-sized team in a systems or HR operations role.
  • Solid understanding of HR operations, data governance, and process workflows.
  • Proficient in Excel and report generation within Darwinbox.
  • Strong analytical, troubleshooting, and project management skills.
  • Excellent communication, organizational, and stakeholder management skills.

Preferred Skills:

  • Experience in system rollout or module implementation projects within Darwinbox or other similar system.
  • Understanding of data privacy laws and compliance (e.g., Data Privacy Act, ISO standards).
  • Familiarity with other enterprise systems such as SAP, Oracle, or Workday is a plus.
  • Certifications in HR systems, Agile project management, or Lean Six Sigma are a plus.
